In this article, we describe the purpose of an HR system and how you can use it as an employee.

In Evity you find information about your employment, your colleagues, documents, answer surveys, access notes from your employee meetings and much more.

As soon as information is added that you should be aware of, you will receive a notification via e-mail from Evity with a link directly to the correct page. So you don't have to actively go in and see if new information has come to you.

Below we will show how to navigate and use the various functions in Evity. If you are new to Evity and have not yet created your password, you can read here and to get to the login page, visit app.evity.hr in your browser, regardless of whether it is on your phone or computer.

How do you use the system?

Navigate the system

When you have logged into the employee portal, you are greeted by the view below, your dashboard . It is a consolidated view for the most important information that needs to reach you.

  1. In the left column, you will find a menu that you can navigate through.

  2. In the top right corner, you will find your own profile; click there to access your personal card.

  3. In the middle of the page, you will find your tasks, which may come from meetings or automations related to onboarding or offboarding. Check them off once they are completed.

  4. Apply for leave or register your absence.

  5. Find your upcoming meetings that are booked through Evity.

  6. Quick information that your organization wants you to have easily access to.

If you click on your 'profile picture' in the top left corner, you will be taken to your profile, your personal card. Here, all information, meetings, forms, and documents related to you are gathered. The personal card is divided into different tabs; read more about these below.

  • Under the 'Personal details' tab, you will find details such as address, account information, emergency contact, allergies, and an option to upload a picture of yourself. Here, you can also integrate with Microsoft and/or Google. If you see an 'Edit button' next to one of the fields on your personal card, it means your organization has allowed you to update that information yourself.

  • Under the 'Employment details' tab, you can view all the information about your employment. Only your manager can add and edit this information.

  • Under the 'Skills and growth plan' tab, you can access your skills, certificates, and other things posted by you and your manager.

  • Under the 'Meetings' tab, you can see all your upcoming and completed meetings. You can add comments for upcoming meetings and revisit old meetings to review information that was discussed.

  • Under 'Tasks,' you will find your assigned tasks and also have the option to view tasks you have completed.

  • Under 'Surveys,' you will find assigned forms that you need to fill out, as well as access to previous forms.

  • Under 'Documents,' you will find documents relevant to you, such as employment contracts and certificates.

  • Under 'Time daways,' you will find a summary if you have used the absence function in Evity.

Meetings and forms

When it's time for a performance review or a similar meeting, you'll receive a calendar invitation. If you need to fill out a questionnaire before the meeting, you will receive an email from Evity with a link, just as if you were responding to an employee survey. Follow the link by clicking on 'Fill in the form.' Answer the questions and then click 'Submit' at the bottom. The responses will then be saved in the meeting.

When you enter a meeting, you can see the questions on the agenda in the text field in the middle. You can also view a summary of your responses to the questionnaire by clicking on 'View answers' under the 'Form responses' tab in the right-hand menu.


During a meeting, you and your manager have the option to add 'Follow-up'-tasks that you agree are important to follow up on. For example, you might add your development plan for the upcoming period. You would then specify who is responsible, what needs to be done, and when it should be completed.

Evity will send a reminder if the task isn't checked off (completed) before the deadline. You can find your tasks under the 'My Tasks' tab on the dashboard we showed earlier.

If you want to bring up something specific in the meeting, you can add a comment by clicking the 'Your comments' button. Enter your comment and click 'Save.' Your manager will then be able to see the comment before or during the meeting. You can also add private notes which visible for you only. These will not be visible to your manager, just as you cannot see if your manager has made private notes.

In the left menu, you can access your HR calendar, where all the processes and meetings for the year are listed. From this view, you can enter your own meetings and schedule new ones by clicking 'Add meeting/process' in the top right corner. You can also filter by other events such as birthdays, anniversaries, and other meetings by clicking 'Filter'.

You can request for vacation or report sick leave, VAB (care of a sick child), and other reasons for being away from work through Evity, if your organization chooses to use that function.

To apply for or register an absence, click the black button at the bottom left, 'Request Leave'. After doing so, you can select the reason for the absence from the options set by your organization, and then add date, notes, or documents. If the reason for absence requires a certificate (e.g., vacation), it will indicate that approval is needed.


Once the absence is registered, the appropriate person will be notified that you have applied for or registered an absence. If you applied for leave, you will receive an email confirmation whether your request is approved or denied.

To get an overview of absences for yourself and your team, go to the Absence calendar by clicking HR Planning > Staff leave. To view your team or other departments, you can use the 'Filter' button. Keep in mind that you can only view absences for which you have permission.

Under the 'Company' tab, you can view all your colleagues and their contact details. You can only see the contact details of those who belong to your 'Team' and for whom you have access.

Under the 'Company Documents' tab, you will find information blocks, a photo gallery, documents, and meeting notes at the organizational level. This may include items such as the employee handbook, policies, staff meetings, or safety inspections.​

Incident, accident, or other errands

If your organization has activated the function "errande" in Evity, you have the ability to report an errande based on your case templates. To do this, click on the 'speech bubble' as shown in the image.



Whistle blowing

If your organization has activated the whistleblower function in Evity, you can report whistleblower cases by clicking on the warning triangle as shown in the image.
