The whistleblowing feature in Evity allows employees, interns, or other relevant groups to easily and anonymously report suspected misconduct within the organization. The requirement for a whistleblowing function applies to organizations with 50 or more employees. Below, you’ll find a step-by-step guide on how to use the feature in Evity as a:
Whistleblower
Case handler
Creating a Whistleblowing Case
To create a whistleblowing case, follow these steps:
Click on the icon in the top-right corner of Evity.
Alternatively, use the external link provided, such as the one published on the organization’s website, to access the reporting tool.
Regardless of which option you choose, you will be directed to the following page, where you can either create a new whistleblowing case or follow up on an existing one.
When you choose to create a whistleblowing case, you will:
Describe your case using text and optionally attach relevant documents.
Select a case handler from the predefined list.
Provide an email address to receive notifications about case updates (optional).
When you submit the case, you will be informed about how to follow up on it. If you choose not to provide an email address, you will receive a code (ID), which you should save to track the case as described:
Whistleblowing as a case handler
As a case handler, if you are assigned to handle a whistleblowing case, you will be notified via email with a direct link to manage the case. Additionally, you will have a new Whistleblowing tab in the left-hand menu. When you are notified of a new whistleblowing case, you should:
Determine if it is indeed a whistleblowing case, and then:
Dismiss the case, or
Proceed to manage the case and communicate with the anonymous person who reported it.
Mark the case as resolved once you believe it has been handled.
Choose how long to archive the case (up to a maximum of 24 months).
Once the case has been handled and marked as resolved, it will be available under the Whistleblowing Cases and Saved Cases tabs.
